Terms & Conditions

Welcome to the Terms & Conditions for CMC2026. By registering for the congress, you agree to the following terms:

  1. Registration & Payment

    • Registration is completed when the online form is submitted and payment is confirmed.

    • All fees are non-refundable after the stated cancellation deadline, except in special circumstances determined by the Organising Committee.

  2. Code of Conduct

    • Participants are expected to behave professionally and respectfully. Discrimination, harassment, or disruptive behaviour will not be tolerated.

  3. Liability

    • The organisers will not be liable for personal injury, loss, or damage to personal property.

    • In case of event cancellation, liability is limited to the paid registration fee.

  4. Data Protection & GDPR

    • Personal data collected during registration (e.g. name, email, affiliation) will be processed in accordance with applicable data protection laws, including the EU General Data Protection Regulation (GDPR).

    • Your data will be used to manage your registration, communication, and participation in the congress.

    • You have the right to access, rectify, or delete your personal data, as well as other rights under GDPR (such as the right to restriction of processing or data portability).

  5. Photography & Recording

    • Sessions may be photographed or recorded by the organisers. By participating, you consent to be photographed or recorded and for the images/videos to be used for promotional purposes.

  6. Changes to the Programme

    • The organisers reserve the right to modify the programme, venue, or speakers if necessary.

  7. Governing Law

    • This agreement is governed by Croatian law, and any dispute shall be subject to the jurisdiction of the courts in Croatia.

Privacy Policy (CMC2026)

This Privacy Policy explains how the organisers of CMC2026 – 5th Croatian Microscopy Congress (“we”, “us”, “the Organisers”) collect, use, store, and protect your personal data when you visit our website or participate in the congress.

c) Photographs and recordings

During the congress, sessions and events may be photographed or recorded.

3. Purposes of Processing

Your personal data may be used for the following purposes:

  • Managing congress registration

  • Abstract submission, review, and scheduling

  • Payment processing (if applicable)

  • Sending congress-related updates and information

  • Preparing the scientific programme and book of abstracts

  • Providing certificates of attendance or presentation

  • Ensuring compliance with safety, legal, or regulatory obligations

  • Website maintenance and security

  • Statistical reporting in aggregated and anonymised form

We do not sell or share your data for marketing purposes with third parties.

4. Legal Basis for Processing

We process your data based on one or more of the following legal grounds:

  • Article 6(1)(b) GDPR – processing necessary for registration and participation in the congress

  • Article 6(1)(a) GDPR – consent (e.g., contact form, newsletter, photographs)

  • Article 6(1)(c) GDPR – compliance with legal obligations

  • Article 6(1)(f) GDPR – legitimate interests (improving congress services)

5. How Long We Keep Your Data

We retain your data only for the time required to fulfil the purposes listed above:

  • Registration data: until one year after the congress

  • Abstracts and scientific contributions: indefinitely, if published in congress materials

  • Invoices/payment documentation: 11 years (Croatian accounting law)

  • Emails and contact form messages: up to 24 months

  • Website logs: up to 12 months

After these periods, your data will be securely deleted or anonymised.

6. Sharing Your Data

Your data may be shared only with:

  • Members of the Organising and Scientific Committees

  • Reviewers evaluating abstracts

  • Service providers essential for the congress (IT support, payment processors, event management tools, website hosting)

  • Authorities if required by law

All third-party processors operate under GDPR-compliant agreements.
